Now That You Are Trying To Compete In Business, You Need Desktop Management

The reason for business is to make money, and once engaged in the process, the usual trajectory for successful companies is expansion and growth. Today, it is hard to imagine being able to function in the market place without the use of information technology. For any company that is using computers, the need for desktop management is absolute.

The first and probably most used interconnecting use is the ubiquitous office electronic mail system. As soon as it is set up, it becomes extremely popular, and for good reason, it offers the fastest and surest communication method. And the fact that it can also eliminate a few meetings probably helps explain the popularity. Setting up a system that allows the employees to communicate with one another and their clients from anywhere and at anytime makes them much more productive and efficient. Information can be transmitted literally instantly to all employees simultaneously. Individuals who are on a trip, on holiday or sick can still get the information on mobile devices or at the latest when they first step back into their office.

It is also possible to reduce the cost of software through the use of networks, both in discounts to the required number of copies needed for purchase. Another means of realizing savings comes in the reduction to the manpower required to install and service these programs. With capable technicians, a company can ensure that its employees have the information technology they need to do the job at the lowest costs.

The centralization of computer care makes them more efficient in a number of ways. First and foremost, it allows the company to be sure that all the computer products are compatible, which can save a lot of embarrassment and loss resulting from data which can not be presented. It also ensures that all the software in the system is standard, meaning that there are no special programs that individual employees may have fallen in love with.

Every software maker touts their product as a plug and play process that requires no special training or knowledge. To their credit, most of the time that works out pretty well. But regardless the effort and intent, there are simply too many ways to install too many types of programs for the makers to evaluate and prepare for. This leave the occasion where installing a seemingly simple program hijacks the system and freezes or other wise compromises the entire network. This method of maintaining the information system also helps preserve the integrity of this process, which is often sabotaged by well meaning and hard working employees who mean well. Invariably employees have experimented with a wide variety of programs on their home systems, and often grow quite fond of specific capabilities. In the attempt to either use the same productivity in the office or the desire to share their favorite program, they introduce these favorite programs to the work system.

When employees introduce software from home, they risk circumventing preventive efforts by the desktop management team to keep malware out of the system. It is complicated enough to fight the constant attacks from the external world of the internet. Protecting from intrusions within the firewalls and other protective measures is difficult, costly and inefficient and a bane to the technicians working hard to keep the system running.

It is nearly impossible to imagine a business today that does not have a significant reliance on information technology. The more complex or larger the business is, the greater the investment in and reliance on computer technology. This is true because the computer has allowed us to communicate much more effectively. The problem arises as the computer begins to take more and more time from management creating inefficiency. The solution is systems management software.

 

Business has long had a need for more information. Management has always sought the answer to such questions as what will sell, when it should be sold, how can we get the product to the consumer quicker, and what inefficiencies are we experiencing. With the advent of the microprocessor, the old adage of be careful what you wish for may be an important consideration. We can now measure so many things and compile so much data that the manufacturing process becomes hard to recognize.

 

Given the right motivation, we can identify and collect an endless stream of facts concerning our business. There is information about the historical needs and uses of the product, what time of year it is most needed, what additions or complementary products most affect its use and so on. We can even spit details of which employee candidate pool is the most likely to successfully work in our industry and where they can be most easily found, attracted, hired and motivated. Unfortunately, we have not found a way to make the day longer or management more multitask capable than we already have. We can hire others to do parts of the business, but that in itself complicates the process and while we gain flexibility, we lose control.

 

While the data is important and even critical to a competitive organization, the methodology for gleaning information does impact the final data. Once all this data has been collected, the manager must make sense of it and put it to use in a practical way, a difficult endeavor made more complex by not having a good handle on the parameters under which it was collected. This is further complicated by the issue of time, just how much should be spent on the analysis of data?

 

The reason for the explosion of information technology is that, when used well, it is a tremendous boost to corporate efficiency. Communication can be immensely more effective when all the decision makers of a large organization all have the same information at hand when discussing significant strategy and tactics. But it dos not always tell us what is important. A small airline company can produce thousands of data entry points to track and report the systemic progress of getting an airplane in the air on time. But this will never help a manager figure out that what the customer cares about is not the takeoff time, but the landing time at destination.

 

There is a means of restoring sanity to the balance of business using computers; the use of the computer to control the information gathering and analyzing automatically. This is, in essence, using a computer to run the computer, and it pays immediate and far reaching dividends. This gives management the ability to make the decision on what data it needs and in what format it wants the information presented. That accomplished, managers can spend their time doing what they were hired to do; run the company and make a profit.

 

Everyone who has been in business knows that it is unnecessary and counterproductive for the CEO of a major company to have to deal with every detail of daily operations. Likewise, managers need to be able to ask operational information of their management system and get the answers they need without having to personally collate the individual pieces of information necessary for their development. This is why it is essential the information be loaded into the system by all employees in a coordinated master software plan.

 

So while it is important that someone is aware of the collection and interpretation of all the detailed information a company has, there has to be a way to develop that raw data into useful knowledge for each level of management. This is the crux of systems management software, manipulating data collected by software systems to develop actionable information for leadership to run the business efficiently and profitably.
